Assistant
Ask the AI assistant about your organization's records, and let it propose changes you confirm in the chat.
Overview
The Assistant answers questions about your organization's CRM from the real records, and proposes changes to them that you confirm in the chat. It reads what you can read and proposes only what you could do on screen. It never changes a record on its own.
Open it with the Assistant button at the bottom right of any organization screen. It opens as a panel beside the page, so you can keep working while you talk to it. Chat history at the top of the panel lists your earlier chats, lets you search them by title and by what you wrote, and deletes the ones you no longer need. Your chats are your own: nobody else in the organization can open them, and a chat belongs to the organization it was started in.
The Assistant appears only when the installation has an AI provider configured. Without one, the button is not shown.
The Assistant answers in your language and reads relative dates — "this month", "last week" — in your timezone.
What the Assistant Reads
| Records | What it can answer |
|---|---|
| Companies | Search by name and notes, a company's notes and how many people, open deals and comments it has, and counts by lifecycle stage or source |
| People | Search by name and email, and which company each person belongs to |
| Pipelines | Every pipeline with its currency and its stages, in order |
| Deals | Filter by pipeline, stage, status, owner, value, expected close date, close date or creation date; a deal's contact, lost reason, last activity and stage history |
| Comments | The comments and replies on a company or a deal |
| Activity log | What changed and who changed it — owners and admins only, see Role Limits |
Records the Assistant names are linked to their pages, and a link in its answer is only ever shown when it opens a page of your current organization; anything else appears as plain text, and images are never loaded. It never sees another organization's records, and switching organizations does not carry anything across.
Lists Are Capped at 50 Records
A single lookup returns at most 50 records. When more match, the Assistant says how many it left out, and narrows the question or reads the next page instead of presenting a partial list as the whole. Ask a narrower question — one pipeline, one owner, this month — to get the full picture.
Totals Are Computed, Never Added Up
Counts and sums — "how many companies are customers", "how much is open in the Sales pipeline" — are computed by the system, not by the model adding up a list.
A sum of deal value is always split by currency. Each pipeline has its own
currency, and nothing is ever converted, so an organization
with a BRL pipeline and a EUR pipeline gets one figure per currency. The
Assistant never adds them into a single total.
Your Data Is Sent to the AI Provider
To answer, the Assistant sends what it reads to the AI model provider the installation is configured with. Each lookup sends only the fields needed to answer — names, statuses, values, dates, links — never whole records, and the activity log is read without IP addresses or browser details. Check the provider's data-processing terms before you put information in your CRM that must not leave your organization.
The Record You Are Looking At
On a company or a deal page, the Assistant knows which record you are looking at, so "who is the contact on this one?" or "mark this deal as won" needs no name. Only the record's identity is passed along: the Assistant reads the current data itself, so its answer is never based on a copy that has since changed. Leaving the page clears it.
Proposals
Ask the Assistant to change something and it answers with a Proposal: a card in the chat showing exactly what will happen. Nothing changes until you press Confirm.
It can propose:
| Records | Changes |
|---|---|
| Companies | Create, edit, delete |
| People | Create, edit, delete |
| Deals | Create, edit, delete, move to another stage of its pipeline, close as won or lost, reopen |
| Comments | Add a comment or a reply, edit, delete |
Pipelines and their stages are read-only to the Assistant.
What a Proposal Shows
- Every record it touches, each linked to its page.
- Each field's value now and after confirming. A new record shows the values it will be created with.
- What a delete affects. A company that still has people or deals cannot be deleted, and the card says so before you confirm. A delete that takes related records with it, or unlinks them, names them and how many: deleting a deal also deletes its comments, and deleting a person unlinks the deals they were the contact on.
A wrong Proposal is fixed by saying so — "no, the value is 50 thousand" — and the Assistant offers a corrected one. Proposals are not edited in place.
Confirming and Cancelling
Confirm applies the change as if you had made it on screen: the same validation, the same rules, the same notifications. A deal closed as lost needs a lost reason here as it does on the board. The change is recorded in the activity log under your name, marked via Assistant.
Cancel closes the Proposal and changes nothing.
Only you can confirm or cancel the Proposals in your chat. Reopening the chat later shows what became of each one:
| Status | Means |
|---|---|
| Awaiting confirmation | It can still be confirmed or cancelled |
| Applying… | You confirmed it and the changes are being applied |
| Confirmed | Every change was applied |
| Partly applied | Some records were changed before one failed — see below |
| Not applied | The change was refused, or applying it was interrupted for more than 5 minutes; the card shows why and lists any records already changed |
| Cancelled | You cancelled it |
| Expired | It can no longer be confirmed |
| Out of date | A record changed after it was proposed, so nothing was applied |
Expiry
A Proposal stops being confirmable when either happens first:
- You send a new message in the chat. A Proposal answers the question it was made for; once the conversation moves on, ask again for a fresh one.
- 24 hours pass since it was made.
Confirming or cancelling one Proposal does not expire the others offered in the same answer.
Out-of-Date Proposals
When you confirm, every record is checked against the version the Proposal was built from. If a colleague — or you, on another screen — changed or deleted one of them in the meantime, the confirmation is refused, nothing is applied, and the card reads Out of date. Ask the Assistant again and it proposes the change against the current data, so you never overwrite an edit you have not seen.
Several Records at Once
One Proposal can change up to 50 records with the same kind of change — "mark these five deals as lost, reason: price" — so you confirm once. The changes are applied one record at a time, in the order the card lists them, and stop at the first one that fails:
- every record applied → Confirmed;
- the first record failed → Not applied, nothing changed;
- some applied, then one failed → Partly applied. The card marks each record Applied or Not applied and gives the reason for the one that failed. The records after it were not attempted.
A partly applied Proposal is not rolled back: the records it changed stay changed, each with its own activity log entry. The Assistant sees the outcome and can offer a fresh Proposal for what was left.
Role Limits
The Assistant offers you only what your role allows on screen:
- Activity log — only owners and admins can ask about it; for members the Assistant has no access to it at all.
- Comments — only a comment's author can edit it. Its author, an owner or an admin can delete it. Neither is possible once the comment has replies.
- Every other read and change listed on this page is open to every member.
A change your role does not allow is never proposed. Your role is checked again when you confirm: if it was lowered in the meantime, a change it no longer allows is refused like any other failure — see Several records at once.
Credits
The Assistant runs on your organization's credits, the same balance shown under Settings → Credits, where owners and admins can buy more.
- Credits are charged for every call to the AI model a message makes, at what the AI provider actually charged for that call. A cheap call costs a fraction of a credit; nothing is rounded up. Answering one message can take several calls — one per lookup the Assistant needs — so a question that reads many records costs more than one that reads a few.
- A single message makes at most 8 calls. A question that needs more stops there and the Assistant says it stopped; ask a narrower question, or ask it to continue.
- In a long chat, the Assistant works from the most recent part of the conversation, so the cost of a message does not keep growing with the chat. Older messages stay in the chat and on screen.
- Confirming or cancelling a Proposal calls no model and costs nothing.
A message is sent as long as the balance is above zero. Once the Assistant starts answering, the reply always finishes, even if the balance runs out partway through: the last calls are still charged, so the balance may go negative. While it is zero or negative, a new message is not sent and you are asked to buy more credits; the next purchase covers what was overdrawn.
